How to Run a Digital Housing Society Election

A digital society election moves nominations, candidate vetting, voting and results into an app. The admin creates the election with nomination and voting windows and approves each nomination, every resident’s vote is locked once cast, and the results are visible to the whole society. Check your bye-laws before you start.

Why run a society election online?

Paper ballots and WhatsApp polls make it hard to show who voted, how many votes each candidate received and whether anyone voted twice. A digital election records each vote once, locks it when it is cast, and shows every candidate’s count and the winner to all members. Residents who are travelling or working late can vote from their phones, which can help more people take part.

An app does not change your election rules. Eligibility, notice periods, quorum and the posts to be filled come from your society’s bye-laws and your state’s co-operative societies rules, so check them before you set anything up.

What should the committee decide before opening an election?

  • Which posts are being filled, such as President, Secretary, Treasurer or Convenor.
  • Who is eligible to stand and to vote, as set out in your bye-laws.
  • The dates for the nomination window and the voting window, and how long each stays open.
  • Who will vet nominations and what checks they will apply.
  • How you will tell residents, for example an announcement that sends a push notification to every member.
  • Whether every resident has joined the society on MyCasa and been approved by the admin.

How do you run the election step by step in MyCasa?

These steps follow the election module in the admin tools.

  1. Create the electionIn the admin tools, create an election and choose the posts to fill: President, Secretary, Treasurer, Convenor or any other post your society needs.
  2. Set the nomination and voting windowsNomination and voting run as timed phases. The windows count down live in the app, so residents can see how long they have left.
  3. Announce the electionSend a society announcement so every member gets a push notification with the dates and the posts.
  4. Collect nominationsResidents put themselves forward for a post from the app, or are nominated by others.
  5. Vet each nominationThe admin approves or rejects each nomination against the criteria the committee agreed on.
  6. Open votingWhen the voting phase starts, residents vote from their phones. Each vote is locked once it is cast.
  7. Publish the resultWhen voting closes, every candidate’s vote count and the winner are visible to all society members.

What mistakes should a committee avoid?

  • Setting eligibility criteria after nominations open. Agree on them and share them first.
  • Making the nomination or voting window too short for residents who travel or work late.
  • Forgetting to onboard residents first. Make sure everyone who should vote has joined the society on MyCasa and been approved.
  • Skipping the bye-law check. The app runs the process, but your bye-laws define the rules.

Frequently asked questions

Can a resident vote more than once?

No. Each vote is locked as soon as it is cast, so a resident cannot change it or vote again in the same election.

Who can see the election results?

Every candidate’s vote count and the final winner are visible to all members of the society, which keeps the process transparent.

Does a digital election replace what our bye-laws require?

No. MyCasa runs nominations, vetting, voting and results, but eligibility, notice periods and quorum come from your bye-laws and your state’s co-operative societies rules. Check them, or ask a professional adviser, before you run the election.
